Florida Atlantic University is seeking a Police Chief Assistant, Boca Raton, FL.

The Police Assistant reports to the Deputy Chief of Police. With little or no supervision, the position provides highly responsible and complex, confidential and specialized administrative support to the assigned executive level supervisor. Assignments outside of the normal work routine are usually in the form of an outline of what is required, or a statement of the end result expected with the incumbent expected to plan and carry out assignments independently. The Assistant functions at an expert level and is accountable for the accuracy of both routine and non-routine, sensitive administrative support duties, analyzes some administrative problems and recommends solutions as dictated by the nature of department. The Assistant may be accountable for assigning, reviewing and supervising the work of other support staff. The Police Assistant handles high level sensitive data and information with a high degree of accountability and discretion commensurate with the highly visible nature of this position which requires great latitude in the exercise of independent judgment.
Summary of Responsibilities Include:
Demonstrate incomparable customer service and impeccable personal presentation as the first point of contact for all employees and internal/external customers meeting in-person with the Chief of Police.
Utilize the utmost confidentiality, field and/or appropriately route all correspondence and communication generated internally and externally via phone, email, US mail, web, etc. on behalf of the Chief and Deputy Chief of Police.
Responsible for preparing administrative documents, strategic planning correspondence and/or all reports in relation to the Chief and the Deputy Chief of Police as enumerated within agency General Orders.
Inspect/analyze reports, records, plans and other data for accuracy, completeness and compliance with established standards and ensure copies of significant documents are made and distributed suitably.
Ensure office coverage during normal business hours.
Generate original written/email correspondence, reports and presentations on behalf of and for the Chief and Deputy Chief of Police. Must be capable of doing so without a template or established “go-by”. Work product must be polished, grammatically correct and free from any type of typographical error.
Assist in the coordination and implementation of special projects. Duties include, but are not limited to, making presentations, procurement activities, research and data analysis, Power Point presentations, and assisting with project task coordination.
Maintain schedule/calendar for the Chief of Police and must be an expert user of (example Microsoft Outlook Calendar) and have demonstrated experience managing multiple calendars.
Coordinate meetings involving the Chief of Police to include but not limited to: Command Staff, Palm Beach Chief’s Association, Law Enforcement Planning Council, scheduling, purchase of supplies/food, presentation materials, creation of award items and set up/break down of meeting space.
Coordinate travel for the Chief of Police to include, but not limited to, purchase of airline tickets, hotel reservations and conference registrations.
Assist with Payroll activities and be the designated back up for the department Timekeeper and also provide general administrative support to Police personnel and other non-sworn staff as needed.
Develop and maintain extensive filing and recording keeping systems and maintain adequate inventories of office supplies; may order office supplies and equipment according to established guidelines.
Attend meetings, conferences and briefings to document subject matter concerning amendments and developments impacting the supervisor or assigned work unit.
Assist with specialized projects to support the efficient functioning of the department.
Perform additional related duties as assigned.
A Bachelor’s degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.
Must have the ability to exercise independent judgment.
Must present a professional and competent image in order to provide incomparable customer service.
Must demonstrate strong organizational skills, excellent interpersonal skills and be able to communicate effectively with a diverse population.
Must be able to coordinate schedules and calendars.
Proficiency in using Microsoft Office and Google Apps.
$35,000 – $40,000
